Customize Email Notifications on Symbol Security

Administrators can now tailor every component of applicable notification emails. This feature allows you to:

• Edit All Components: Take complete control by modifying the Subject Line, Email Body, and Signature. This ensures you maintain a consistent brand voice and deliver clear messaging to your users.

• Personalize Messages: Increase user engagement by inserting Personalization Variables (dynamic data placeholders for individual users) directly into the text.

• Ensure Signature Consistency: Maintain a uniform, professional signature across all customizable emails simply by checking the “Apply to all emails” box.

• Real-Time Previews: Instantly visualize the email before saving changes. This Real-time Preview helps you confirm formatting and content accuracy immediately.

• Whitelabeling: If your company has the Whitelabel feature enabled, the preview will reflect your custom logo , guaranteeing a seamless, fully branded user experience for the recipient.

Available Variables for Personalization

You can insert the following variables anywhere in the subject, body, or signature:

• [User First Name]

• [User Last Name]

• [User Email]

• [Company Name]

⚙️ How to Customize Your Notifications

To access and modify your email templates:

1. Navigate to the Settings menu from your Company portal.

2. Click on the Notification tab .

3. Choose the email you wish to edit.

4. Click on “Customize” (This action is only available for a few emails, check below).

5. Edit the Subject Line , Body , and Signature fields, using the available variables.

6. Check the Preview of the Email on the right panel to confirm the final look and content.

7. Enable the “Apply to all emails” checkbox to use the same signature in all emails.

8. Click Save Changes.

🛑 Important Note Regarding Signatures: If you previously had a custom signature defined in the company settings, it has been automatically migrated into this new full customization format. You will find your existing custom signature preserved in the new signature field, ready for further editing if necessary.

🎯 Current Scope of Customization

Currently, full customization is available for the following critical user communications:

• Training Assignments Notification: The initial email alerting users to new, required training modules.

• Users’ Reminders Notification: The follow-up email prompting users to complete overdue or upcoming assignments such as Training Courses, Email Threat Alerts, or Policies pending for signature.

We are continually expanding this functionality and plan to add the ability to customize other notification emails in the near future.
